Proof of Delivery
Definition
A proof of delivery (POD) is the document or digital record that confirms a shipment was received by the intended consignee. It captures who signed for the goods, when they arrived, where they were delivered, and what condition they were in at the time of handoff.
The POD is created at the point of delivery, not at pickup. That distinction matters because it makes the POD the closing document of the shipment, not the opening one. Once signed, it transfers accountability from the carrier to the consignee.
In business-to-business (B2B) freight, the POD is also the trigger for invoicing. Most accounts-payable teams will not release payment on a freight invoice until they have a signed delivery confirmation in hand. A missing or delayed POD does not just create a paperwork gap; it directly pushes out payment and inflates days sales outstanding.
In US trucking, the terms "POD" and "Delivery Receipt" are used interchangeably. For parcel shipments, the POD is usually a timestamped tracking event combined with a signature capture or a photo of the package at the drop point. For less-than-truckload (LTL) and truckload freight, it is most commonly a signed copy of the bill of lading (BOL).
What a proof of delivery contains
Every POD, whether paper or digital, needs to answer the same three questions: who received it, when, and in what state. These are the fields that answer those questions.
Consignee signature and printed name
The signature confirms someone accepted the goods. The printed name is what makes it usable in a dispute. A signature alone cannot prove who actually took possession of the freight, which is why both fields are needed together on the same document.
Delivery date and time
This timestamp establishes exactly when custody transferred from the carrier to the receiver. It is the reference point you use to challenge a detention charge, verify a service-level agreement was met, or pin down when a damage event could have occurred.
Piece count
The number of cartons, pallets, or handling units received. This is checked against the bill of lading at the point of delivery. If the count does not match, the discrepancy has to be noted on the POD before signing. A shortage discovered the next morning, with a clean POD already on file, is a much harder claim to make.
PRO number or tracking number
The progressive rotating order (PRO) number is the carrier-assigned reference that ties this specific delivery to the freight bill and the shipment record. For parcel shipments, the tracking number does the same job. Without a linking reference number, reconciling a stack of signed delivery slips against the right invoices becomes a manual process with a high error rate.
Shipper and carrier details
The names and addresses of the sending party and the transporting carrier. These identify who was responsible for the freight at each stage and are referenced when a claim is filed or a billing dispute needs to be resolved.
Condition and exception notes
This is the most consequential field on the document. Any damage, shortage, overage, or refusal must be written here at the moment of delivery, before the driver leaves. The specific language used in this field is what opens or closes a freight claim. A signed POD with no notes is treated as confirmation that everything arrived in good order.
GPS coordinates and photos (electronic PODs only)
Electronic proof of delivery (ePOD) systems capture the GPS location and timestamp automatically at the moment of signing. Many also prompt the driver to photograph the freight at the drop point. These fields are not on a paper POD, but they add a layer of location and visual evidence that makes electronic records significantly stronger in a dispute.
Where proof of delivery is used
PODs show up across every freight mode. LTL (less-than-truckload) and truckload trucking, parcel and last-mile courier, rail freight, and regulated industries like pharmaceuticals and food distribution all rely on delivery documentation as a standard part of operations.
Several different roles handle a POD across its lifecycle. The driver captures it at the dock. The receiving clerk or supervisor inspects the goods, counts the pieces, and either signs clean or notes any exceptions before signing. The dispatcher chases the document back from the field. The accounts receivable (AR) billing team uses it to issue the invoice. Freight auditors and accounts-payable (AP) departments then match it against the freight bill and the bill of lading before payment is released.
In the shipment lifecycle, the POD appears at the very end, at the physical handoff between carrier and consignee. But it does not stay there. The signed document feeds forward into invoicing, payment, freight audit, and any claims process that follows. Getting it right at the dock determines how smoothly everything downstream runs.
How proof of delivery works in practice
The POD starts at the dock and ends on a ledger. Here is how that path runs, in order.
Step 1: Capture at the point of delivery
When the driver arrives, the receiving team inspects the shipment and counts the pieces against the bill of lading. If everything matches and the goods look fine, the receiver signs and prints their name. If something is wrong, such as a damaged pallet or a short count, they write it in the exception field before signing. On a paper POD this is a physical slip or a signed copy of the BOL. On an ePOD system, the receiver signs a device screen and the system automatically captures the timestamp, GPS coordinates, and photos alongside the signature.
Step 2: Return the document to the office
A paper POD travels back to the depot when the driver returns at the end of the shift. From there it gets sorted, keyed into the billing system, and reviewed. This lag commonly runs anywhere from 48 hours to two weeks, and paper gets lost in that window more often than operations teams like to admit. An ePOD closes that gap by transmitting the completed, signed record back to the office within minutes of delivery.
Step 3: Match the POD to the shipment record
Back at the office, the POD is matched to the load record, the bill of lading, and the PRO number. This step confirms that the delivery on file is the one being invoiced. If the piece count on the POD differs from the BOL, or if an exception was noted, it gets flagged here before an invoice goes out.
Step 4: Trigger the invoice
In B2B freight, the signed and matched POD is what authorizes the invoice to be issued. Most buyers accounts-payable teams will not approve a freight invoice without a delivery confirmation on record. Every day the POD is delayed in coming back is a day the invoice cannot go out, which directly adds to days sales outstanding (DSO).
Step 5: Freight audit and three-way matching
In a freight audit, the auditor cross-checks the invoice, the BOL, and the POD together to confirm the charges on the bill reflect what was actually delivered. In manufacturing accounts-payable, the same logic applies as a three-way match across the purchase order (PO), the goods receipt, and the invoice before payment is released. The POD is the goods receipt in that process.
Step 6: Handle exceptions and claims
If a POD comes back with exception notes, or if a POD comes back missing or illegible, the process branches. Exception-noted deliveries open a freight claim supported by the annotated POD, photos, and the BOL. Missing or incomplete PODs put the invoice on hold. After about two weeks without resolution, it escalates to a formal dispute. Incomplete documentation is one of the most common reasons carriers deny freight claims outright.
Example
A US food distributor ships twelve pallets of ambient goods to a grocery retailer's distribution center (DC). The driver arrives at the receiving dock and the warehouse team counts all twelve pallets off the trailer.
One pallet has visible damage. The corner is crushed and the product is exposed. The receiving supervisor writes "1 pallet crushed, product damaged" in the exception field before signing. The driver countersigns the note. That line, written at the dock before the truck pulls away, becomes the first piece of evidence in a freight claim against the carrier.
The signed delivery receipt goes back to the distributor's billing team the same afternoon. They match it to the BOL and PRO number and issue the freight invoice. The exception note triggers a parallel claims process. Both happen the same day because the documentation was captured correctly at the point of delivery.

Types of proof of delivery
Not all PODs look the same or work the same way. The format depends on the industry, the carrier, and how much the operation has digitized. These are the four main types in use today.
1. Paper POD
The paper POD is the original form. It is a physical delivery receipt or a signed copy of the bill of lading that the driver collects at the destination and brings back to the depot at the end of the shift. It has been the standard in trucking and freight for decades and is still common in smaller operations, regional carriers, and any context where a handwritten wet signature is a legal or contractual requirement.
The downside is operational. Paper moves at the speed of the driver. If the route runs long, if the driver forgets to hand it in, or if the slip gets wet, torn, or lost, the invoice goes on hold. For high-volume operations, the backlog that builds up from chasing paper PODs is a real and recurring cost.
2. Electronic POD (ePOD)
An ePOD replaces the paper slip with a mobile device. The driver opens a delivery app, the receiver signs on the device screen, and the system captures the signature alongside an automatic timestamp and GPS coordinates. The completed record transmits to the carrier's or shipper's system within minutes, sometimes seconds, of delivery.
This is now the dominant format among major carriers and third-party logistics providers (3PLs). The speed of return is the biggest operational gain: instead of waiting days for paper to come back from the field, the billing team can see a confirmed, signed delivery record almost as soon as the truck pulls away from the dock.
3. Signature POD (SPOD)
A signature POD is a delivery confirmation built specifically around a captured signature image. FedEx uses the term formally for its Signature Proof of Delivery service, which returns a scanned or digitally captured image of the recipient's signature along with the delivery details. USPS provides a similar record for mail classes that include Signature Confirmation, sending an emailed letter that includes the signature image, the printed name, and the delivery timestamp.
SPOD is particularly relevant for high-value shipments or any delivery where a named individual must personally accept the goods. The captured image creates a direct link between the physical act of signing and the digital delivery record.
4. Photo POD
A photo POD substitutes a photograph for a signature, or adds one alongside it. The driver photographs the delivered package at the drop location, and the image is transmitted with the delivery record. For contactless last-mile delivery to residential addresses, a clear photo of the package on the doorstep has become the standard confirmation method.
At the commercial dock level, photo PODs are increasingly used to document the condition of freight at the moment it changes hands. A timestamped photo of a damaged pallet, taken before the driver leaves the yard, is much stronger evidence in a claim than a handwritten note alone.
Key variations to understand
The type of POD is about the format it takes. The variation is about what it records and who it is for. These are the four contrasts that matter most in practice.
1. Clean POD vs. Exception POD
This is the most important distinction in freight operations, and it is determined entirely by what gets written at delivery.
A clean POD is one signed with no notes about damage, shortage, or overage. It creates a legal presumption that the goods arrived in good condition. Once a carrier has a clean delivery receipt on file, any claim for damage that surfaces afterward is very difficult to win because the signed record says the goods were fine.
An exceptional POD is one where the receiver has written a specific note before signing. "3 cartons short," "pallet 2 water damaged," "refused, outer packaging destroyed." That language, written at the dock at the time of delivery, is what opens a valid freight claim and anchors the carrier's liability to the delivery event. No exception on the POD means no strong claim. It is that straightforward.
2. Parcel POD vs. Freight POD
The two look and function quite differently, even though they serve the same purpose.
A parcel POD is lightweight. It is typically a carrier tracking record showing a delivery event with a timestamp, a delivery address confirmation, and either a signature capture or a drop-point photo. FedEx, UPS, and USPS all generate these automatically.
A freight POD is a more substantial document. It carries a PRO number, a piece count, the consignee's printed name and signature, shipper and carrier details, and a dedicated exception section. In LTL (less-than-truckload) shipping, the freight POD is usually a signed copy of the bill of lading itself. The stakes are higher on a freight delivery, so the documentation is correspondingly more detailed.
3. Paper POD vs. Electronic POD
Both confirm the same delivery. The difference is speed, reliability, and evidentiary strength.
Paper returns at driver speed, requires manual data entry, and can be lost or become illegible. Electronic returns in near real time, requires no manual entry, and creates a tamper-evident digital record with an audit trail. Under the Electronic Signatures in Global and National Commerce (ESIGN) Act and the Uniform Electronic Transactions Act (UETA), electronic signatures carry the same legal weight as wet signatures in the US, so the shift to ePOD does not come at any legal cost.
For operations processing high volumes of deliveries, the difference in invoice cycle time between the two formats is measured in days.
4. B2B POD vs. B2C POD
The purpose is different even when the document looks similar.
A business-to-business (B2B) proof of delivery is a working document. The receiving clerk signs it after inspecting the freight. It carries purchase order (PO) references, piece counts, and exception notation. It feeds directly into three-way matching and the invoice approval process, and it is the primary evidence in any freight claim.
A business-to-consumer (B2C) POD, the signature or drop photo on a residential parcel, serves a different function. It exists mainly as anti-fraud protection and chargeback defense. If a customer disputes a delivery, the signed POD or delivery photo is what the merchant presents to the card network as evidence that the order was received.
