A file that's been sitting in a shared folder for days, waiting on someone to notice it, is a workflow that hasn't started yet. Drive integration covers both sides of that problem: it can watch for a file the moment it lands or changes, then do nearly everything that needs doing to it once it does. Instead of a file waiting on someone to remember to check, the workflow starts as soon as it lands.

How it works

Drive can start a workflow off three kinds of activity: a new file anywhere in your connected account, a new file landing in one specific folder, or an update to a file that already exists, including files that live inside a Team Drive folder rather than a personal one. That means a workflow watching a shared intake folder catches a file the moment it's dropped, with no polling schedule needed.

Once a workflow is running, Drive's actions cover most of what you'd otherwise do by hand: searching for files, listing what's in a folder, creating a new folder or file, uploading a file into Drive, reading a file's contents, duplicating a file, and saving a document out as a PDF.

Sharing permissions are covered too, down to removing them, so a workflow can grant access when a file is ready and pull it back once it isn't anymore. For anything Drive doesn't have a dedicated action for yet, you can slot in a custom API call so the workflow doesn't hit a hard wall.

Because Drive sits alongside Docs and Slides in the same file-side group, a file a Drive trigger picks up can flow straight into a Docs or Slides step in the same workflow, without a separate integration step in between.

Freight and logistics operations

If you run freight and logistics operations, a rate confirmation landing in a shared Drive folder can start a workflow the moment it's dropped, instead of someone checking the folder to notice it. The trigger catches a rate sheet, load manifest, or carrier invoice as soon as it lands, with no polling schedule involved.

Customs brokers

If your customs brokerage tracks incoming shipping documents in Drive, a new file landing in a shared intake folder, like a commercial invoice or entry summary, can trigger extraction the moment it's uploaded. Because permissions can be granted or pulled back automatically, you can open a file to a reviewer while it's in progress and close access again once it's filed.

Lending and mortgage

If you collect borrower paperwork in a shared Drive folder, an update to a file already there, like a new income verification sheet or closing cost disclosure, can trigger a workflow the moment it changes, without anyone reopening the folder to check. Because a file a Drive trigger picks up can flow straight into a Docs or Slides step in the same workflow, you can move from an uploaded loan application to a generated summary without a manual handoff.

Manufacturing and procurement

A purchase order dropped into Drive by a supplier can trigger extraction the moment it arrives, no one has to notice it first. Because Drive's actions cover duplicating a file and saving a document out as a PDF, you can pull a copy of a packing slip or GRN into a working folder and generate a clean PDF version for your records without touching either file by hand.
