Data Sources

Validate and fill extracted data using what you already have

Data Sources connects your existing records to a document schema. Once connected, you can validate extracted values against that data and automatically fill in related fields, instead of checking everything by hand.

How it works

Connect a Data Source directly from your schema. Pick the source and column you want to use, or open the Data Source manager to create and manage your Data Sources from one place.

Once connected, Docxster checks each extracted value against your Data Source. If a vendor name, part number, or other field matches an existing record, you know the extracted data lines up with what you already have.

When a match is found, Docxster fills in the related fields in your table automatically. You don't have to re-enter data that already exists somewhere else in your business.

If a match isn't automatic, or the extracted value is close but not exact, you can select the right record yourself during review. Docxster fills the mapped fields based on your selection.

You can't delete a Data Source that's currently connected to a schema. This keeps a workflow from breaking if a source it depends on gets removed by mistake.

Where this is useful

Freight and logistics operations

Connect a Data Source of your approved carriers or vendor rate sheets. When a load manifest or freight invoice comes in, Docxster checks the extracted carrier or rate against your list and fills in the matching contract terms or account details, instead of you cross-checking a spreadsheet by hand.

Customs brokers

Connect a Data Source built from your importer or exporter records. When a commercial invoice or entry summary is processed, Docxster validates the extracted company name or HS code against your existing records, helping catch mismatches before a filing goes out with the wrong declared value or code.

Lending and mortgage

Connect a Data Source of existing borrower or property records. When a loan application or income verification sheet comes in, Docxster checks the extracted borrower details against what you already have on file and fills in related fields like account numbers or property IDs automatically.

Manufacturing and procurement

Connect a Data Source of your approved supplier list or master part catalog. When a purchase order or supplier price list is processed, Docxster matches the extracted part number or supplier name against your records and fills in pricing, lead times, or specs automatically.
